How to Bulk Import Product Variant Abacus

In Abacus Back Office, you can manually add product variants and their values one by one and link them to specific products. However, this process can be time-consuming, especially when making large-scale updates. To simplify the process, Abacus provides a Bulk Import feature that allows you to upload and update product variants in batches.

Follow the steps below to update or add product variants using the Bulk Import feature:


1. Export the Product Variant File

Go to Abacus backend > Products > Products Variant > Export the file. This will download your existing product variant list in spreadsheet format.


2. Identify the Product to Update

Let’s say we want to create a new product variant for a product from the POS menu.

Take note of the product code, for example:
Product: For Bulk Import
Product Code: A-00176



Currently it doesn't have any product variant linked to that product above:


3. Edit the Exported File

Open the downloaded file and add a new row to include your new product variant detail. 

Here are the details:
Name: This is the Product Variant Name > Variant Bulk Import 
Is Disabled: We want to make the Product Variant Active or Not > FALSE (put TRUE if we're going to disable the variant)
Include Qty: Allow Multiples of the same Variant value > FALSE
Force Selection: Requires a variant to be selected > FALSE
Auto Selection: Automatically select all variants by default > FALSE
Single Selection: Limits to only one value selection > FALSE
Max Selection: Limits how many variant can be selected > 2 (this means the maximum selected will be only 2) 
Product Code: Put the product code for the product that we have taken a note before > A-00176 
Parent: Give one enter and put the Parent's name for each variant value > Variant Bulk Import (The same as the name of the product variant)
Value Name: Product variant value name within the product variant > Import 1, Import 2, Import 3, Import 4, Import 5
Value Print Name: Put it empty so the print name will be the same as the Value name 
Value Code: Put a unique code for each variant value > IP-1, IP-2, IP-3, IP-4, IP-5
Stock Product: Link it to any product code if we want to make this variant acting as a product as well and we can put the variant value as sold out too
Price: Put how much the price of the variant value 

This setup links the variant “Variant Bulk Import” to product “For Bulk Import”, allowing up to two variant selections.



4. Import the Updated File

Now go back to Abacus backend > POS Settings > Bulk Import > Choose the file > click import


5. Once the import is complete, you’ll see a message saying “Data has been imported”


6. Sync from Master POS

Finally, go to the Master POS and perform a sync to apply the new variant setup. You’ll see the new variant and its values appear correctly in both the POS and the Back Office.
